Container charges and free time

How to anticipate and check demurrage, detention and storage charges

Collect the applicable free-time terms before the container arrives, identify the event that starts and stops each clock, and assign an action owner to every deadline. When an invoice arrives, recalculate each charge against the tariff and the evidence of container movements. OVRSEA can help monitor and review these items within the agreed scope.

How OVRSEA helps with these charges

OVRSEA helps customers anticipate and check demurrage, detention and storage within the agreed service scope. The work combines transport planning, the applicable conditions, container events and supporting records. Start before arrival: identify each charge clock and its owner, then retain the evidence needed to reconstruct an invoice.

Which charges should be kept separate?

At import, demurrage commonly concerns a container held at the terminal, detention its use outside the terminal, and storage the space occupied at the terminal. Carriers may combine some periods or apply local definitions, so the label alone cannot prove a bill. Read the conditions for the booking. Maersk’s terms illustrate the categories and refer to local rules.

ItemQuestionRecord
Equipment at terminalIs this clock separate from time outside?Carrier terms and terminal events
Equipment outside terminalWhich return event stops the clock?Return instruction and depot receipt
Terminal storageWho invoices, and on what calendar?Terminal tariff and billed period
Truck waitingWhat time is included for pickup or unloading?Road terms and timestamps

At pickup, check the equipment’s condition. Photograph and report a rejected container and ask for instructions. Keep truck waiting separate from equipment charges. An extension of equipment free time does not automatically extend storage free time; confirm each allowance in writing.

How do I maintain one reliable deadline per container?

Record the carrier, terminal, equipment ID, booking, tariff version, clock-start event, free days, counting method, exclusions and rate tiers. Check whether the first and last days count. Preserve both the old and new deadline if an event is corrected or a special agreement changes it. If the source is missing, mark the date as unconfirmed.

Compare the deadline with customs status, carrier release, delivery appointment and empty return. The timeline should lead to a decision: bring pickup forward, obtain a document, find a slot or request an available extension. Extension products differ by country and service, as Maersk explains.

What proves empty-container return?

Before the trip, verify the approved depot, availability and appointment rules. After return, attach the container number, recorded date and time, and depot receipt or system event. If the depot refuses the unit, retain the reason, carrier exchanges and replacement instruction. Those records support a review; they do not guarantee a charge waiver.

How should an exceptional-charge invoice be checked?

Match the equipment ID, dates, free time, unit, currency and tariff tier. Recalculate demurrage, detention, storage and road waiting separately. A carrier, terminal and trucker may bill different services for similar dates.

For example, a depot receipt may show an earlier return than the carrier’s event record. First confirm both refer to the same container and identify the contractually relevant stop event. Only then recalculate the period. Keep the invoice, tariff, free-time agreement and movement records together.

How should a dispute be closed?

Name who prepares the claim, sends it to the invoicing party and follows up. Track invoiced amount, disputed amount, response and credit note actually issued. An open dispute is not an accepted correction; check payment terms separately. Discuss container-charge controls with OVRSEA.

FAQ

Does detention free time also cover terminal storage?

Not necessarily. Equipment use and terminal storage may have separate terms and invoicing parties. Check each allowance on the actual booking.

What do I need to verify a demurrage invoice?

Request the itemised invoice, applicable tariff, free-time confirmation and events used to calculate it. Include proof of empty return if that event ends the charge.

Does an alert before free time expires guarantee no charges?

No. It prompts action but cannot guarantee customs release, truck availability or a return-depot slot. Assign the action, record obstacles and decide before the deadline.
