Air or sea freight from India to Europe: how to compare
Compare air and sea from the same cargo ready date to the same European delivery address. Include the Indian inland leg, handling, customs work and delivery, then assess whether the buyer can accept the proposed dates. Packed dimensions, handling restrictions and the cost of a missed delivery can matter as much as the freight rate.
Choose air or sea freight from India to Europe by comparing complete journeys against the buyer's delivery requirement. Air can be worth examining for a time-critical part of an order; sea options can suit larger or less urgent movements. The booking decision depends on accepted cargo, the available route and total cost for the shipment.
An airport-to-airport estimate and a sea-freight door-to-door quote describe different services. Start both comparisons at the same Indian pickup address and end at the same receiving location.
Which service options should you request?
Less-than-container-load shipping (LCL) shares a container with other cargo. Full-container-load shipping (FCL) reserves a container; the load need not fill all its space. Air services also differ in routing, connections and consolidation arrangements.
| Option | Reason to examine it | Assumptions to verify |
|---|---|---|
| Air | A buyer deadline, urgent replacement or a small high-value lot | Cargo acceptance, packed dimensions, chargeable weight, connections and delivery |
| Sea LCL | Cargo that can use a shared container | Receiving cut-off, handling, consolidation, arrival charges and availability after deconsolidation |
| Sea FCL | Cargo suited to a dedicated container | Equipment suitability, loading plan, inland transport and container-related charges |
| Split air and sea | Part of the order has a different delivery requirement | Extra documents and handling, buyer acceptance and the cost of separate receipts |
Ask the forwarder which options are available for the shipment before assigning them a ranking. A named airport or port does not establish a departure or capacity commitment.
Why do the Indian pickup address and packed dimensions matter?
Provide the location where the cargo will actually be collected. An exporter headquartered in Delhi may ship goods from a manufacturer elsewhere in India. The inland route, loading conditions and available departure point must follow the cargo.
Measure the packed units, including pallets or crates. Identify whether they can be stacked, tilted or moved with the equipment available at collection and delivery. Ask the provider to state the chargeable weight or volume basis, rounding, minimums and treatment of non-stackable cargo.
Measure the cargo after packing and ask how the service calculates chargeable weight, space and minimum charges. OVRSEA’s groupage webinar covers these questions in French.
How should you compare delivery dates?
Work backwards from the buyer's required receipt. Check when the goods can be packed and released, when the forwarder must receive them and when documents must be accepted. Include connections, destination handling, customs work and the delivery appointment.
For LCL, distinguish vessel arrival from the point at which your consignment can be released after deconsolidation. For air, confirm the planned connection and final delivery leg. Ask how the estimate changes if a connection or receiving deadline is missed.
Keep the transport estimate separate from any commitment explicitly accepted by the provider. Do not substitute a generic "Asia-Europe transit time" for a quotation based on the Indian origin and destination.
What belongs in the total-cost comparison?
Add the charges each option actually includes and identify anything payable separately. Keep the buyer's costs visible even when your sales term places them outside your own transport bill.
| Cost group | Examples to request in the quotation |
|---|---|
| India origin | Collection, handling, receiving, export documents and customs service |
| Main transport | Freight, applicable surcharges and connections |
| Europe destination | Arrival handling, customs service and agreed delivery |
| Possible changes | Storage, waiting, rebooking or extra handling |
| Commercial effect | Financing or stock-out costs supported by your own business assumptions |
Customs duties and taxes require the relevant product, origin, customs value and destination treatment. The European Commission's import guide, consulted 19 October 2026, explains those checks for EU destinations. Do not assume that choosing a different transport mode creates a tax saving.
When should you separate the urgent part of an order?
Illustrative situation: a Bengaluru exporter has replacement components and a routine replenishment order for the same customer in Germany. Ask the customer which items are critical and whether separate deliveries are acceptable. Compare moving the urgent items by air and the balance by sea with moving the whole order together.
Reconcile the split with the invoice and packing lists, exporter declarations and destination instructions. If separate customs or document work is needed, include it in the comparison. Splitting the cargo is an option to price, not a guaranteed saving.
For orders collected from different Indian factories, the supplier consolidation guide explains the choice between waiting and dispatching separately.
What information should you send for a mode comparison?
Send the product, value, pickup and delivery addresses, packed dimensions, weight, package count and ready date. Add the buyer's receiving deadline and any battery, dangerous-goods, temperature or handling constraints so that acceptance can be checked.
Our India team can help you compare the origin arrangements for air and sea. Discuss your shipment with OVRSEA, using the same pickup, cargo and delivery details for both options.
FAQ
Does choosing air freight remove customs work?
Air freight still requires the applicable export and destination formalities. The Indian exporter and destination importer should confirm documents and product requirements before dispatch. A quicker transport leg cannot resolve an incomplete customs file.
Is there one volume at which FCL becomes cheaper than LCL?
There is no switch point established for every India-Europe shipment. Request both quotations for the actual cargo, route and dates, including origin and destination charges. Package dimensions, density and handling restrictions can change the comparison.
How should I compare emissions if the buyer requests them?
Request estimates for the actual routes and service boundaries, with the calculation method and assumptions. Check whether pickup, connections and final delivery are included in each estimate. Do not apply a generic reduction percentage to the shipment.
