Export from India to Europe: a shipment planning guide
Start with the Indian exporting entity, the product and the buyer's delivery requirement. Confirm the applicable export conditions, agree who arranges each part of the journey, and have the destination importer check entry requirements before collection. Build the booking around cargo readiness, accepted documents and the final delivery address.
To prepare an export from India to Europe, identify the exporting business and the destination importer before booking transport. Confirm what is being sold, where the goods will be collected and when the buyer needs them. The plan should join Indian export formalities, carriage and destination clearance to a delivery the buyer can receive.
This guide is for an export or logistics team based in India. Its EU customs references apply to EU destinations. Shipments to other European customs territories need a separate destination check.
What must the Indian exporter confirm before collection?
Check the entity that will appear as exporter, its product classification and the current export policy for the goods. India's Directorate General of Foreign Trade (DGFT) requires an Importer-Exporter Code (IEC) for goods exports unless a specified exemption applies. The policy also requires IEC holders to update or confirm their details annually during April-June. Check the IEC's current status instead of relying on an old registration copy. DGFT, Foreign Trade Policy chapter 2, paragraphs 2.01, 2.05 and 2.06, consulted 19 October 2026.
An IEC does not determine whether a particular product may be exported. Give the customs broker a useful description, composition, use and proposed Indian tariff code. Ask for confirmation of restrictions, licences or product-specific documents before fixing collection. A catalogue description such as "parts" is too broad for that review.
If your company buys from Indian manufacturers and sells abroad, agree whether your company or each supplier is the exporter in the transaction. Physical collection from a factory does not answer that question. Align the invoice chain, declarations and payment documents with the actual sale.
Which responsibilities should the seller and buyer agree?
Write the delivery term with its named place and version into the sales agreement. Incoterms rules allocate delivery tasks, costs and risks; the transport quotation still needs its own service scope. Keep payment and ownership provisions in the sales contract. ICC, Incoterms rules, consulted 19 October 2026.
| Decision | Confirmation to obtain before booking |
|---|---|
| Indian pickup and export formalities | Exporting entity, collection address and appointed customs broker |
| Main carriage | Booking party, mode, route and point where the seller hands over the goods |
| Destination clearance | Importer, customs representative and required product data |
| Delivery | Exact address, receiving appointment, unloading arrangements and contact |
| Changes or extra costs | Person authorised to approve a revised plan and the costs allocated to each party |
Where the buyer appoints the forwarder, get the Indian receiving and document instructions directly into your export team's workflow. Where you arrange transport to destination, ask the buyer to confirm the import arrangements before cargo leaves India. Avoid promising a duty-paid sale until the legal and tax arrangements for that destination have been checked.
What should the European buyer check?
For an EU delivery, ask the importer to confirm its customs identification and the product's entry requirements. The European Commission's EORI guidance, consulted 19 October 2026, explains registration for EU and non-EU operators according to their customs activities.
Provide the importer with product specifications, composition and origin evidence early. The importer and its representative can then check classification, applicable duties, trade measures and product requirements. Preferential treatment needs the applicable legal basis and origin evidence for that product and date. An India-Europe sales contract does not establish a preferential rate.
The Commission's import guide, consulted 19 October 2026, separates customs formalities from product, packaging and labelling requirements. A freight booking does not establish that the goods meet those requirements.
How do you turn cargo readiness into a transport plan?
Request a plan from the actual factory address to the buyer's agreed delivery point. Give the forwarder packed dimensions, gross weight, package count, handling constraints and the date each lot will be released. Distinguish production completion from goods that are packed, checked and available for collection.
Ask for the proposed departure and connections, the latest cargo and document acceptance times, and the assumptions behind the estimated arrival. A cut-off is the latest acceptance time for a specific activity. Collection, warehouse receiving, document submission and carrier departure are different milestones.
Illustrative situation: an engineering exporter near Pune has a completed order for a buyer in Belgium, but the buyer's warehouse requires a delivery appointment. The exporter asks for a sea-freight plan and an air-freight alternative for the urgent items. Both proposals must include the inland journey in India, destination clearance arrangements and the receiving appointment. The exporter can then compare the options against the buyer’s receiving appointment.
Which documents should follow the goods?
DGFT lists the commercial invoice and packing list, the relevant transport document and the applicable export declaration: Shipping Bill, Bill of Export or Postal Bill of Export. Foreign Trade Policy chapter 2, paragraph 2.06, consulted 19 October 2026. Additional documents depend on the goods and applicable conditions. A quotation request comes earlier: the final transport document may not yet exist.
Maintain one checklist with an owner and required stage for each item. Reconcile the description, quantities, weights, parties and references before submission. After dispatch, retain the final transport and customs records and the delivery evidence needed for the transaction. The India export documents guide develops this checklist.
If goods come from several Indian suppliers, use the consolidation guide to decide whether to combine them or dispatch the ready lots separately.
FAQ
Does an Indian exporter always need its own EU EORI number?
The need for an Economic Operators Registration and Identification number depends on the customs activities the business performs in the EU. An Indian seller that supplies an EU importer should identify the importer and customs representative first. The European Commission also lists situations in which a non-EU operator needs an EORI; selling to Europe alone does not settle the question.
Can I use an EU checklist for deliveries to the United Kingdom or Switzerland?
The EU checklist applies to the EU customs territory. For a delivery outside that territory, confirm the destination country's import requirements and any transit arrangements separately. The delivery address, port of arrival and country of customs clearance may differ.
What should I change if the buyer changes the delivery address after booking?
Send the revised address to the forwarder and the destination importer before accepting a new delivery plan. Recheck the quotation, transport documents, customs arrangements and receiving constraints. Keep the buyer's approval and the superseded instructions in the shipment file.
