Choosing a freight forwarder for India-Europe exports

Compare forwarders on the same Indian pickup, cargo and European delivery requirement. Identify the contracting entity, the party handling Indian export customs and the destination handover. Ask each provider to explain its charges, document checks and response to a missed milestone, using your actual shipment.

OVRSEA · 21 October 2026

Choose a freight forwarder for India-Europe exports by testing the service against a shipment you need to move. A freight forwarder organises transport and related work within an agreed scope. Establish who contracts with you, who handles Indian export formalities and who coordinates the destination before comparing prices.

A generic list of ports or a promise of global coverage will not show how the provider handles your factory, product and buyer's receiving conditions. Send the same shipment brief to each candidate and keep the responses together.

Who will carry out the work in India and Europe?

Ask the forwarder to identify the contracting entity and the parties responsible for collection, receiving, export customs, carriage and destination coordination. A customs broker handles customs work within its authorisation and appointment; that role is distinct from organising the freight.

India's Directorate General of Foreign Trade (DGFT) requires an Importer-Exporter Code (IEC) for goods exports unless a specified exemption applies. The exporter must establish the relevant product and document requirements even when a broker helps with the filing. DGFT Foreign Trade Policy chapter 2, consulted 19 October 2026.

Where a service needs an authorisation, request evidence for the legal entity and location performing it. Check that the authorisation covers the work proposed for your shipment.

For an EU destination, have the buyer identify the importer and customs representative. The European Commission's import guide, consulted 19 October 2026, describes import documentation and product checks. Other European customs territories need their own checks.

Which questions make competing quotations comparable?

Use one request for quotation, or RFQ, with the same cargo ready date, packed dimensions, weight, product, pickup and delivery addresses. Include the sales delivery term, its named place and version.

Item to compare Evidence to request
Inland collection in India Address, vehicle and loading assumptions, collection window
Origin services Receiving, handling, documents, customs and any storage included
Main carriage Mode, route, connections, booking conditions and price validity
Destination services Arrival handling, customs representative and final delivery scope
Conditional costs Storage, rebooking, waiting, inspection-related work and charge basis
Currency and payment Currency per line, conversion terms if used, taxes and payment conditions

List exclusions alongside the total. If a charge depends on an inspection, storage duration or changed sailing, ask how it will be calculated and approved. A quotation should distinguish a fixed charge from an estimate or a third-party cost passed through to you.

How can you assess the document process?

Ask the candidate to walk through an example from commercial invoice to dispatch. Who checks the exporter, package count and product description? Who approves the Shipping Bill data? How will you know that customs permission to export has been obtained?

The Mumbai Customs export procedure, consulted 19 October 2026, distinguishes Shipping Bill processing from the Let Export Order, which permits export. Use this distinction when reviewing the workflow. Do not treat a filed declaration, accepted cargo and a confirmed departure as the same event.

Request a document checklist with owners and deadlines. Ask how a changed quantity or late supplier lot will be handled after filing, including any required amendment. The India export documents guide provides a starting file.

What should the provider do when the plan changes?

Give each candidate the same hypothetical situation: your goods are ready near Chennai, but one package is repacked after the original quote. The dimensions and handling requirement change. Ask what must be rechecked, who approves any price change and how the buyer receives the revised delivery estimate. Use the answers to assess how the team handles changes.

A useful response identifies the missing information and the decision owner. Ask about cover during absences and the escalation path if an export or receiving deadline is at risk. Agree the response arrangements in the service scope; a global service indicator does not establish a local response commitment.

FAQ

Does a forwarder's office in India prove that it owns the warehouse?

An office establishes a location, not ownership of a receiving or storage site. Ask for the proposed warehouse operator, site address and services in the quotation. Check the relevant authorisation separately when the flow requires a customs or Special Economic Zone (SEZ) regime.

Can I compare a port-to-port offer with a door-to-door offer?

Add the missing collection, handling, clearance and delivery services before comparing the totals. Mark amounts that remain estimates and identify charges payable by the buyer. A lower subtotal is not evidence of a cheaper service when the scope differs.

Should the cheapest quote decide the award?

Price is useful once scope, cargo assumptions and timing are comparable. An Indian exporter should also examine the document process, the destination handover and the cost of likely changes. Ask the provider to explain exclusions before accepting the quotation.
